ADMINISTRATIVE ASSISTANT

Kalos Music & Art School is looking for a full time, responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, students and assisting in daily office needs and managing our company’s general administrative activities.

Applicant must be Experienced in accounting/office management; Must be proficient in Microsoft Office and accounting software i.e. QuickBooks and Excel; Thorough knowledge of general office procedures and practices: Ability to communicate effectively, both orally and in writing; Bilingual (English/Spanish). Russian is a plus.

• Proven experience as an administrative assistant, virtual assistant or office admin assistant
• High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
• A high level of professionalism is necessary in this role.

• Exceptional attention to detail
• Excellent Social and customer service skills. Must have initiative mixed with good, sound judgment.
• Excellent organizational skills.

• Must possess advanced knowledge of Microsoft Office applications. (MS Excel and MS PowerPoint, in particular)
• Must possess experience with QuickBooks accounting software.
• Excellent written and verbal communication
• Proficient in proofreading and editing corporate documents.
• Ability to handle multiple tasks simultaneously, meet time sensitive deadlines and organize workload with minimum supervision.

Person holding position will be required to:
• Answer and direct phone calls
• Provide general support to students and visitors
• Organize and schedule appointments/classes for staff and customers
• Write, translate and transcribe documents, general announcements and other communications between the company and our clients as well as with vendors.
• Participate in meetings and take detailed minutes

On a day to day basis, the administrative assistant will support the General Manager with the following duties:
1.
i. Process Enrollments; Create Invoices, process enrollment fees and supervise the billing process.
ii. Process Monthly and Term payments.
iii. Teacher’s payroll; Calculate and follow up on billable hours incurred by the staff.
iv. Manage and supervise payments made on the credit card terminal.
v. Collection of books, instrument rentals, and facility supplies. Daily administrative activities. Provides full reports on payments received.
b. Assists in the creation of expense reports.

2. Logístics
a. Participates in developing schedules and ensures classroom availability. Is proactive in achieving School goals.
b. Coordinates teacher schedules
c. Supervises all Front Desk activities.
d. Provides academic assistance to parents and students.
e. Assists the General Manager in project management.
f. Develops weekly report for Directors.
g. Supervises the Library area.
h. Maintains up to date list of equipment and instruments.
i. Ensures students and teachers follow the established procedures and guidelines.

RECEPTIONIST

Minimum Requirements:

High school diploma
Previous Experience working as a receptionist or customer service

Responsibilities:

Answers phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school
Manages telephone message system (office hours, inclement weather and other recorded messages)
Greets all incoming students, families and guests respectfully and professionally
Assists in all aspects of maintaining a professional front office, including but not limited to, fielding and directing incoming phone calls to the appropriate staff member in a timely, professional manner, filing and copying and faxing of sensitive information.
Understands, accepts, and abides by the School’s philosophy and mission statement in all school activities.
Develops a positive, welcoming and caring climate in the Front Office.
Consistently exhibits high standards of professional conduct.
Effectively perform all other duties as assigned by Manager.
Arrives punctually, be prepared for each school day, and maintains regular attendance.
Requires basic clerical skills and knowledge of office practices and procedures that involve the operation of standard office equipment such as personal computer, copier, fax, and associated equipment that can be learned on the job within several months.
Assists students and others with routine problems and will refer non-routine items to a supervisor.
Works with courtesy, tact, and diplomacy in dealing with others, and the ability to work cooperatively as part of a team.
Able to sit or stand for extended periods of time
Lifts supplies and materials weighing up to 25 pounds.
May be assigned to work in Guidance, Student Services, Curriculum, or the general office.
Types routine correspondence, memoranda, reports, records, bulletins, orders and other office documents from sources such as rough drafts, notes, and oral instructions.
Receives, counts, opens, unpacks, dates, stamps, records, sorts and distributes incoming mail, documents, books, materials and supplies following established procedures.
Sorts and stamps out-going correspondence, addresses envelopes and packages, and prepares printed matter and other material for mailing.
Receives and refers visitors, and provides routine information upon request about our programs.
Enters information or data to personal computer or computer terminal following established procedures.
Able to read, comprehend and apply job-related written material and make decisions in accordance with applicable school system policies and procedures.
Able to perform basic arithmetical calculations (addition, subtraction, multiplication and division of whole numbers, fractions and decimals).
Able to compute percentages.
Able to communicate effectively, orally and in writing.
Able to establish and maintain satisfactory working relationships with other employees, children, and the general public.
Able to write legibly.
Able to honor confidential information.
Proficient with the Microsoft Office Suite of products (Word, Excel, Powerpoint, etc…)
Must speak English; Spanish is a plus.

PIANO TEACHER

Piano Teacher Needed: Kalos Music and Art School in Aventura, Florida, is looking for an experienced and enthusiastic female Piano teacher, preferably specialized in academic technique and repertoire, with harmony and accompaniment/chamber music experience, who would be available from August 15th 2016, for the whole School calendar year 2016-17, and Summer programs, on Weekday(s).
The piano class at Kalos Music and Art School is offered as a One on One or group class, as a technical and repertoire training for classical & academic, jazz & musical, and/or pop repertoire, for children from 6 years old, teens, and adults. The piano class is also part of a Music Initiation program for children from 3 years old in group classes.
Salary: Teaching rate is dependent on education and experience.

MUSIC INITIATION TEACHER

Kalos Music and Art School in Aventura, Florida, is looking for an experienced and enthusiastic Dalcroze and Music Initiation teacher who would be available for the first semester January to June 2016, Summer June and July 2016, and 2016-17 school years on Weekday(s).
Music Initiation is offered as an introductory music class for children 3-6 years old.
Description: This class is designed as the first structured music class for children 3-6 years old, based upon the principles of Emile Jaques-Dalcroze and Kalos Music developed methodology. The Kalos Music and Art School approach to music education teaches an understanding of the basic concepts of music through the song as the main learning tool to incorporate rhythm language and understanding in performance, vocal and instrumental learning (piano, recorder, among others), musical games, movement and improvisation. This also provides an opportunity for children to interact with other children in their age group.
Salary: Teaching rate is dependent on education and experience.
